Filled-in example

Fictional example, not market rates. All figures and conditions need replacing or confirming. Fixed transfers and hourly hire are alternative services; the CSV contains sample values, without formulas.

The CSV includes the example rows. Open it as UTF-8 with commas as separators, replace the sample data and check the figures. It contains no formulas or automatic recalculation.

Templates

What goes in each field

We explain what to enter and what to check before sharing the document.

Vehicle class
Name the service class and specify passenger and luggage capacity in your final offer.
Route or zone
State the direction and exact zone boundaries. This example covers one-way journeys from the airport.
Fixed transfer fare
The base price for one vehicle on this route, before the stated extras and tax.
Hourly rate
The price per hour for a separate hourly hire; do not add it to the fixed transfer fare.
Minimum hours
The minimum billed hire duration. Add your billing increments and included mileage to the final terms.
Waiting
State when the clock starts, included minutes and the price and rounding unit afterwards.

Surcharges
Define local time windows, holiday dates, the price component affected and how overlapping charges combine.
Cancellation
State the cutoff, time zone, fee basis and no-show rule. Here the cutoff uses the pickup's local time.
Currency
Use one currency code for this rate card. Create a separate card for another currency.
Validity
The inclusive first and last pickup dates covered by these rates, in YYYY-MM-DD format.
Tax basis
Say whether every amount includes or excludes tax and confirm the applicable treatment before sharing.

You can edit the sample rows in a spreadsheet. We include no formulas or automatic calculations. This download is a working document, not a TransferCRM import file.

Are these standard surcharges and cancellation terms?

No. We use fictional terms to show what needs stating. Set your own time windows, holiday calendar, fee basis and cancellation conditions before offering them.

How do I handle tax and different currencies?

Keep one currency per card and state the tax basis for all amounts. Confirm the applicable tax treatment for your services; do not combine currencies or assume these example amounts include VAT.
