Rate management

A price you can explain, for every journey you sell

Put your transfer rates, hourly hire terms and surcharges in one place. TransferCRM applies the rules you set, while the price calculator shows how a journey reaches its final figure.

Included in every plan

  • Fixed routes and distance rates
  • Hourly hire and waiting terms
  • A breakdown before you quote

Your everyday rates

Start with the journeys your office prices every day

A familiar airport transfer and an unfamiliar address need different starting points. Keep fixed fares alongside distance rules, with the vehicle and service terms that make each quote yours.

  • Fixed prices for familiar routes

Save the routes you sell regularly with a price for each vehicle class. A matching route gives the office a defined starting fare for that journey.

  • Distance bands for other journeys

Set a base fee and distance rates, including separate bands for longer journeys. Each band's rate applies to the distance within that band.

  • A minimum for short transfers

Set a minimum fare in your pricing rule. Short journeys can then reflect the minimum amount you charge, even when the distance calculation comes out lower.

  • Vehicle classes with different prices

Use vehicle multipliers to distinguish your classes against the general rule. Fixed routes can carry class prices, so a saloon and a van need not share a fare.

  • Hourly hire on your terms

Define an hourly rate, minimum booking hours and billing increments. Price a car at disposal according to its booked time, with terms separate from a transfer.

The details that change a fare

Make the extra charges part of the rule

Night pickups, waiting and the drive from your base all affect a working day. Record what you charge so the office can see the same terms when preparing a price.

  • Night, weekend and seasonal bands

Define time windows, weekend days, holiday dates and seasonal periods with their multipliers. The pricing rule uses the pickup time to apply the relevant bands.

  • Choose how multipliers combine

Control how overlapping time bands combine and which price components a multiplier affects. Review the result when a night pickup also falls on a holiday.

  • Waiting with a grace period

Set included waiting minutes and the rate after that allowance, with separate airport terms. You can also limit the number of waiting minutes that are billable.

  • Airport and meet-and-greet charges

Define airport and meet-and-greet fees in the rule. Keep these charges visible in the price breakdown instead of leaving the office to remember another amount.

  • The journey from your base

Manage your bases and empty running terms from the pricing screen. Include the approach and return travel according to your settings when calculating a journey's price.

Check before you quote

See what your rules actually charge

Use the calculator with a real route and pickup time. Read the result, compare the available vehicle classes and adjust the relevant rule when the number needs changing.

  • Test a real transfer

Enter pickup and destination details, the date and vehicle choice. The calculator asks for a price using the journey details you want to check.

  • Read the itemised breakdown

See the components behind the total, including applicable surcharges and discounts. The office can explain a figure by reading what the calculation actually included.

  • Compare classes for one journey

View prices across vehicle classes for the same journey. This helps you check the difference between the cars you offer before preparing a customer's quote.

  • Follow the price to its source

The price test identifies where the fare came from. Use that context to inspect a matching fixed route or the rule behind a distance calculation.

  • Keep rate changes with owners

Owners and administrators edit the general pricing rules. Dispatchers can use the price preview when preparing bookings, giving the office access to figures without ownership of every setting.

Frequently asked questions

Which plan includes rate management?

Starter includes the core pricing tools: distance rules, fixed routes, bases, vehicle multipliers and waiting terms. Pro adds prices between zones, independent vehicle class rates and hourly distance allowances. Choose the plan according to the pricing structure your business needs.

Can fixed fares and distance pricing work together?

Yes. You can maintain fixed prices for regular routes and distance rules for other journeys. The engine checks for a matching route price before using distance pricing. The calculator shows the source and breakdown so you can verify how a particular journey was priced.

Can I check a price without creating a booking?

Yes. The pricing calculator lets you test a transfer or hourly hire without saving an order. Enter the relevant details, examine the breakdown and compare classes. It is a practical way to check a new rule against journeys you already know.

Will changing my rates reprice existing bookings?

Changing the price book does not by itself rewrite the prices stored on existing bookings. A later change to a booking's pricing details can trigger a new calculation. An agreed manual price follows its own handling, so review the booking when changing its journey.
