KSeF integration

Send your transfer invoices to KSeF

  • Invoice and correction submissions
  • KSeF numbers on PDFs

Connect your company

Set up access before sending invoices

KSeF is available with invoicing from the Pro plan. You provide your company's access details, choose the environment and activate the connection in settings. A session test lets you check that access before submitting a document.

  • Connect the right seller

Enter your company's Polish tax number and complete its seller details. Before sending, we check that the configured tax number matches the seller on the document.

  • Use your own credentials

Configure a token or upload certificate and private key material for your company. Saved credentials are encrypted, and the settings screen does not display the stored secrets.

  • Choose the environment

The settings distinguish KSeF test, demo and production environments and show the destination. Select the environment that matches the credentials you are configuring for your company.

  • Test access without an invoice

Run a session test using your saved credentials. TransferCRM authenticates, opens a session and closes it again, showing the result without sending an invoice to KSeF.

From submission to acceptance

See what happened to each document

An invoice sent to KSeF can still be waiting for an answer. We keep submission and acceptance separate, with status checks and the returned details attached to the document. Your office can follow the result after sending.

  • Send an issued invoice

Submit an eligible issued invoice from TransferCRM. We build the structured document from its saved details, so you do not retype the same invoice in another form.

  • Check details before sending

We check seller details, Polish tax numbers, invoice number, issue date, totals and supported VAT rates before submission. Missing or inconsistent information produces a reason to review.

  • Follow the returned status

Pending submissions receive background status checks, and you can refresh a submission yourself. Acceptance, rejection and sending errors remain distinct, with available failure details shown for review.

  • Keep the assigned KSeF number

When KSeF returns the accepted invoice's number, we save it on the document and print it on the PDF, separately from the reference used to track sending.

  • Download the UPO receipt

Download the UPO XML when KSeF has returned it for a submission. Keep the receipt with your invoice records or pass it to the person handling your accounts.

Corrections and document history

Keep a correction tied to its original

A changed fare or a reduced charge needs a document you can trace back to the invoice it changes. TransferCRM supports correction submissions while retaining the seller details saved when you issued the original document.

  • Submit invoice corrections

Send issued credit notes as KSeF correction documents. They identify the original invoice and use its KSeF number when available, keeping the correction connected to the earlier document.

  • Correct an increased fare

When a previously invoiced ride costs more, the invoice difference workflow can create an upward correction. Choose that document form to submit the increase as a KSeF KOR.

  • Retain the issued seller

Issued documents retain their saved seller identity for filing and PDF output. Later edits to company settings do not replace the seller details already recorded on those documents.

  • Keep proformas outside KSeF

Proformas are excluded from KSeF submission. When you convert a proforma into a final invoice, that invoice is a separate document with its own eligibility and submission status.

Frequently asked questions

What do I need to connect KSeF?

KSeF is included with invoicing from TransferCRM Pro. You need your company's seller details, Polish tax number and KSeF access credentials for the chosen environment. Save them in settings, test the session and activate the connection. The test checks access without submitting an invoice.

Does TransferCRM send every invoice to KSeF?

No. TransferCRM checks the document and company configuration before allowing submission. The current workflow covers eligible business invoices with a buyer tax number and their corrections. Drafts and proformas cannot be submitted. A final invoice created from a proforma is checked separately once issued.

How do I know whether KSeF accepted an invoice?

Check the submission status on the document. Sending creates a submitted state; a later status check records KSeF's answer. When KSeF returns its assigned number, TransferCRM saves it and includes it on the invoice PDF. The UPO XML can be downloaded once it is available.

Can I send both downward and upward corrections?

Yes. Issued credit notes and upward corrections created through the invoice difference workflow can be submitted to KSeF. Each correction identifies its original invoice. If that original has been filed but its KSeF number is missing, sending the correction is blocked until the number is available.

What happens when a submission fails?

TransferCRM records sending errors separately from KSeF rejections and shows the available reason. Checks before sending can identify missing seller information, invalid Polish tax numbers or inconsistent totals. Review the reported issue before trying again; a failed attempt does not become an accepted invoice merely because you clicked Send.
