Corporate portal

Give corporate clients their own booking desk

Your client's assistants book the journeys. Their approvers authorise spending. Finance gets the references and documents it needs. You receive the work in TransferCRM, with the booking rules and rates you agreed for that account.

Included from the Business plan

  • Personal booking links
  • Approval above individual limits
  • Cost centres and invoice PDFs

Booking for colleagues

A familiar journey, without another email

An airport arrival, a day of meetings or the same route next week: the corporate desk enters the details once and sees what happens next. Your office receives a booking or a clearly identified request.

  • Access for each arranger

Send each named arranger a personal link, so bookings carry their identity. Deactivate one person's access when they leave while keeping the account's history.

  • Travellers already on file

Arrangers can find people they have booked before and name the travelling party. Approvers and the shared company account can use the company's passenger list.

  • Classes with agreed prices

The portal shows vehicle classes for the journey with capacity, luggage and the account's price. If no suitable price is available, the arranger can request one.

  • A car by the hour

Let clients request a car for a block of hours within your booking settings. Your hourly rates price it; otherwise your office receives a price request.

  • Book again or return

Open a new booking from a previous trip, keeping its route, cost centre and PO reference. For a return, the route reverses and the date stays empty.

Decisions before dispatch

Make it clear who needs to say yes

A request above someone's authority must reach the right person before it reaches your drivers. The portal distinguishes a confirmed booking from one waiting for a price, client approval or your office's confirmation.

  • Limits per arranger

Set an individual spend limit for a named arranger. A booking above that amount waits as a draft for another authorised person to decide.

  • An email for approvers

When approval is needed, active approvers receive an email with the booking details and their personal portal link. The requester cannot approve their own booking.

  • Your confirmation policy

Choose whether an account's portal bookings confirm immediately or wait for your office. Client approval does not bypass an account's requirement for office confirmation.

  • Views that follow responsibility

A named requester sees their own bookings and spending report. Approvers and the shared company account see the company view, including its issued invoices.

  • Cancellation with terms shown

Enable online cancellation to show applicable charges before confirmation. Arrangers cancel their own eligible bookings; a draft awaiting a decision can be withdrawn without a fee.

The account, explained

Give finance the detail behind the total

When the client asks which department travelled, who booked it or what remains unpaid, the answer should be available with the account. Their report and invoice list draw on the work already in your CRM.

  • Cost centre and PO

Capture a cost centre and purchase order reference with the booking. The references stay with the trip so your team can identify the department or project.

  • Reports for a chosen period

Choose a month, quarter, year or custom date range. Review spending and trips against the previous period, with breakdowns by cost centre, requester and route.

  • CSV and branded PDF

Download the report for the whole selected period as CSV or a PDF carrying your brand. Billable cancellation fees are counted instead of the cancelled trip's full price.

  • Invoices ready to download

The company account and approvers can see issued invoices, due dates and outstanding balances by currency. Each invoice offers the same PDF your office sends.

Frequently asked questions

Which plan includes the corporate portal?

Business is the lowest plan with the corporate portal included. Starter and Pro can add it separately. TransferCRM has a 14-day trial and no driver or vehicle limits. Choose the plan around the office and features you need, then set up the corporate account's access and booking rules.

What happens when a booking needs approval?

It remains a draft while another authorised approver decides. Active approvers receive an email with details and a personal link to the portal. The requester's own approval cannot release it. If you require office confirmation for that account, an approved request still waits for your team before it becomes confirmed.

Can clients book when there is no price?

Yes. They can send the journey details as a request for your office to price. This also covers hourly hire when no hourly rate is available. The request arrives as a draft marked as awaiting a price, so your team can complete it before confirming the work.

Can a client cancel through the portal?

Yes, when you have enabled self-service cancellation and the booking remains eligible. The portal shows the applicable cancellation charge before the client confirms. A named arranger can cancel their own bookings. A draft still waiting for a price, approval or office confirmation is withdrawn without a cancellation fee.

Who can see reports and invoices?

Named requesters see reports covering their own bookings. Approvers and the shared company account see the company's report and issued invoices, including due dates, remaining balances and downloadable PDFs. CSV and report PDFs cover the selected period in full, so finance can work with the underlying trips outside the portal.
