Invoices and credit notes

From the completed ride to the invoice paid

Your bookings already hold the customer, journey and price. We bring those details into invoicing, so your office can prepare the document, follow its balance and handle corrections beside the rides it covers.

Included from the Pro plan

  • Invoices from your rides
  • PDFs and email delivery
  • Partial and full credit notes

Prepare the document

Start with the rides you have already recorded

At month end, the work begins with what still needs billing. Choose the customer and period, then check the details before issuing.

  • Find rides awaiting invoices

See completed, priced rides that have not been invoiced. Filter by customer and dates to prepare the next document from the work already recorded in your office.

  • Group a customer's rides

Bring compatible rides onto one invoice. Batch generation separates customers, currencies and tax conventions, so a monthly billing run keeps documents grouped around the right account.

  • Carry over buyer details

Select the customer to bring their billing details and saved payment terms into the editor. Check the buyer information before the document leaves your office.

  • Review lines and tax

Check descriptions, quantities, prices and tax rates in the invoice editor. The document shows its totals while you prepare the lines for the customer.

  • Keep a draft first

Save your preparation as a draft and return to it before issue. A document preview sits beside the editor to help you review the customer's copy.

Issue and follow up

Keep the document and its payment history together

An issued invoice has a number, a customer and a balance. We keep those details alongside delivery and payment events for the office to follow.

  • Number at issue

Invoices take their number when issued, using your configured numbering series. An unfinished draft does not reserve a number while you are still checking the details.

  • Download the PDF

Download the invoice as a PDF from its record. Keep a copy for your accounts or provide the document when a customer asks for it.

  • Send from the invoice

Email the invoice to the customer's billing address from the document. The invoice timeline records the email event and recipient for a later check.

  • Record money received

Enter a payment with its amount, date, method and reference. Record a partial payment or settle the remaining balance, with the invoice showing what is still due.

  • Read the invoice timeline

See issue, email, payment and credit events on the invoice. Dates and recorded actors help your office understand the document's history when a customer queries it.

Handle a correction

Correct the amount with a linked credit note

A cancelled journey or an agreed reduction needs a document that explains the change. Create that correction from the invoice it belongs to.

  • Credit all or part

Prepare a full reversal or select lines and amounts for a partial credit. The correction stays attached to the invoice whose charges you are reducing.

  • Explain the reason

Choose a reason such as cancellation, discount or overcharge, then describe the change. Your correction carries an explanation alongside the lines and amounts it adjusts.

  • Keep the original reference

The credit note belongs to its source invoice and takes its own number on issue. Your office can follow the correction without replacing the original document.

  • Use the invoice's tax basis

Corrections follow the original invoice's currency and tax basis. Changing today's pricing settings does not silently change whether that earlier document was priced net or gross.

  • See the credited amount

Issued credit notes update the invoice's credited amount and balance. The system checks the remaining amount available to credit before another correction can be issued.

Frequently asked questions

Which plan includes invoices and credit notes?

Invoicing is included from Pro. Owners, administrators and accountants can use the invoice workspace to prepare documents, record payments and handle credit notes. We keep the document connected to its rides, so the office can follow billing without maintaining a separate copy of each journey.

Can I invoice several rides together?

Yes. Select the customer's compatible rides for one document, or generate invoices for a date range. Batch generation groups by customer and separates currencies and tax conventions. Review the resulting drafts before issue, especially when an account has journeys billed on different terms.

Does a credit note return money?

A credit note reduces the amount invoiced and records why that amount changed. It is a document, and issuing it does not itself send money back to the customer. Keep the correction and any actual refund in view when resolving a payment query.

Can I edit an invoice after issue?

Prepare and check the document as a draft. Once issued, its financial contents are protected; a reduction is handled through a credit note linked to the original invoice. That keeps the issued document and the correction available as separate records of what changed.

How do I record a part payment?

Open the invoice and record the amount received, payment date, method and reference. You can enter less than the remaining balance, and the invoice continues to show the outstanding amount. This records money received; entering a bank transfer does not initiate a bank transaction.
