Quotes

Give clients a quote they can say yes to

Put the journey, vehicle choices and price in one proposal. We give your client a link to compare, ask a question and accept, then carry their choice into a draft booking for your team.

Included in every plan

  • Vehicle choices and extras
  • Online acceptance
  • Agreed price carried forward

Build the proposal

Make the choice clear before you send

An airport transfer and a car by the hour need different details. Start with the service your client wants, then put the available vehicles, inclusions and commercial terms on the same proposal.

  • Transfers or hourly hire

Enter the pickup and destination for a transfer, or the pickup and duration for hourly hire. Add the passenger count and the date when it is known.

  • Vehicles worth comparing

Offer vehicle alternatives with a label, description, seats and price. Mark your recommendation so the client can compare the choices and see which one you suggest.

  • Extras with their own prices

Add optional extras and quantity limits to the proposal. The client chooses what they need, and we include those selections in the amount they are asked to accept.

  • Inclusions and terms in writing

List what the service includes, set the validity date and add your terms. Keep internal notes separately so your office can retain context outside the client proposal.

The client's decision

One link for the offer and the answer

Your client opens the proposal in a browser without creating an account. They see the journey and the choices you offered, with the total updated for their vehicle and selected extras before accepting.

  • Send it under your name

Send the quote by email with your company presentation and a proposal link. A branded PDF gives the recipient a document they can forward for internal approval.

  • Show the amount to accept

We calculate the chosen vehicle, selected extras, discount and applicable tax together. The client sees the resulting total before giving their answer, including the quote's currency.

  • Make room for questions

The client can send a question from the proposal or decline with a reason. Your office sees the response on the quote and can reply by email.

  • Ask for a signature

Enable signature requirements if your process needs them. The client enters their name and signs on the page; otherwise, they can accept without signing.

Back at the office

Keep the answer connected to the ride

The quote remains the record of the sale. Your dispatcher can see whether it was opened, what the client chose and whether an accepted proposal has become a draft booking ready for review.

  • See where each quote stands

Follow draft, sent, viewed, accepted, declined, expired and converted quotes. The detail page shows opening activity, the validity date and the events that have happened.

  • Keep the acceptance record

We record the accepted content and time, with the signer's details when supplied. The office can return to the acceptance record and download its saved document.

  • Create a draft booking

When the required trip details are present, online acceptance creates a draft order with the chosen vehicle class and agreed price. Your dispatcher reviews and confirms it.

  • Reuse a proposal carefully

Duplicate a quote into a new draft for the next enquiry. We give the copy its own number and link, leaving the earlier client's answer with the original.

Frequently asked questions

Which plan includes chauffeur quotes?

Quotes are available from Starter. You can prepare vehicle choices and extras, email the proposal, collect an online answer and turn an accepted quote into a draft order. Separate features have their own plan requirements: invoicing starts with Pro, as do fare options that attach different commercial conditions to a ride.

Does the client need a TransferCRM account?

No. The client opens the proposal through its individual link in a browser. They can review vehicle choices, select extras, download the PDF, ask a question, accept or decline. If you require a signature in your quote settings, the acceptance page asks for their name and signature.

Does acceptance immediately confirm a booking?

Online acceptance normally creates a draft order for your dispatcher to review and confirm. If a required detail such as the pickup date is missing, the acceptance stays recorded and the office is notified that conversion needs attention. Accepting a quote is not itself a payment or a confirmed vehicle assignment.

Will the booking keep the price the client accepted?

Yes. Conversion carries the chosen proposal's agreed amount into the order, including selected extras, discount and tax treatment. It does not fetch a new fare from today's price book. If the quote's total or currency changes while the client's page is open, they must review the updated offer before accepting.

Can I quote before the travel date is known?

Yes. You can prepare a transfer or hourly proposal without a pickup date, send it and record the client's acceptance. A booking needs a pickup date and time, so the office must add those details before converting that accepted quote into an order. Your proposal can still have its own validity date.
