Client portal

Let returning clients take care of the next booking

Give your regular clients one place to book a transfer, find their chauffeur and settle an invoice. Your logo and colours stay with them, while each request reaches the same bookings your office already manages.

Returning clients

A familiar place for every booking

A hotel desk checking tomorrow's pickup and a private client finding last month's journey need the same thing: a clear account of what they booked with you. The portal puts those details within reach.

  • Sign in by email

Clients enter the email address on their client record and receive a sign-in link. They can get back to their bookings without creating another password.

  • Find the next pickup

The dashboard brings upcoming journeys forward. Clients see the pickup time, route and booking status before opening the details of the ride they need.

  • Look back through journeys

Upcoming, completed and cancelled rides stay in their account. Search by booking number, address or flight number helps clients find the right journey across their history.

  • Know who is driving

When assigned, the chauffeur's name and phone number appear with the vehicle details. The ride also links to tracking, so clients can check the journey's progress.

  • Keep your identity visible

The portal uses the name, logo and colours of the brand they book with. Returning passengers see the identity they booked with as they move between journeys, invoices and payment cards.

The next journey

Clients enter the details. Your office takes over.

A repeat booking should arrive with the route, passenger and chosen vehicle class already attached. Clients provide those details in the portal, and your team picks up the request in its usual workflow.

  • Start with the route

Clients enter pickup and destination, date and time, passenger count, luggage and flight number. A notes field keeps extra instructions alongside the new request.

  • Use their agreed rates

Vehicle choices are priced through your pricing rules and the client's agreed rates. Each class shows its capacity, helping clients choose a suitable option for the party.

  • Name the travelling guest

A client booking for someone else can choose a previous passenger or add a new name and phone number. Those details follow the booking to the chauffeur.

  • Keep confirmation with the office

A portal booking enters your system as a request. The office receives a notice, and the client receives acknowledgement before your team confirms the journey.

  • Control online cancellation

Enable client cancellation when it suits your operation. Eligible rides show the cancellation charge before confirmation, using your policy; completed journeys and rides in progress cannot be cancelled online.

Payments and access

Give clients the account details they need

Keep the practical follow-up close to the journey: what remains to pay, which invoices are outstanding and where a saved card is held. Your operational costs and margins stay within your office.

  • Check invoices and balances

Clients view invoice lines, due dates and outstanding balances. Totals stay separate by currency, so an account with several currencies shows what is owed in each.

  • Pay you directly

With your Stripe configured, clients pay a booking or invoice into your own Stripe account. TransferCRM takes 0% payment commission; Stripe's processing fees still apply.

  • Manage saved cards

Clients add a card on Stripe's hosted page and can remove saved cards in their portal. Card details are handled by Stripe rather than entered into TransferCRM.

  • Show their account only

Clients see their own bookings and invoices. Internal notes, driver pay, subcontractor costs and your margin are excluded from the booking details they can read.

  • Add your passenger app

Enable your branded passenger PWA for a home-screen entry point. Passengers open your link and install it from their browser, with your app name and icon.

Frequently asked questions

Which plan includes the client portal?

The client portal and passenger PWA are included from Pro. You can try TransferCRM for 14 days and add unlimited drivers and vehicles. Office seats and other plan allowances vary, so choose the plan around the workload your team handles.

Do clients need a separate account and password?

They use the email address already held on their client record. The portal sends a link and a code; the sign-in link works once and expires after 24 hours. A session lasts 30 days and extends with use. Your office can revoke existing portal sessions from the client's profile.

Can clients change or cancel a booking themselves?

You decide whether online cancellation is available. When enabled, an eligible booking shows the cancellation charge under your policy before the client confirms. A change of pickup or other journey details goes through your office. The booking page provides the office contact details you have configured for that brand.

How do payments reach our company?

You configure your own Stripe account, and portal card payments go into that account. TransferCRM charges 0% payment commission; Stripe charges its own processing fees. Clients can pay a booking or an outstanding invoice. The portal offers the online payment methods your company has configured, including PayPal where enabled.

Is the passenger app available in app stores?

The passenger app is a PWA installed from your link through the passenger's browser. You enable it for a brand and prepare its name and icons. On iPhone, passengers add it to the Home Screen from Safari; supported Android browsers provide an install prompt. It is distributed through that link, outside app stores.
