Flight tracking

A late flight changes the pickup, too

Keep the flight and the transfer in the same booking. We bring available arrival updates into TransferCRM and move eligible delayed pickups later, so you can plan the car around the passenger’s arrival.

Included from the Pro plan

  • Flight status on the booking
  • Arrival delays adjust eligible pickups
  • Original pickup stays visible

Before the airport pickup

Read the flight alongside the ride

A flight number is useful when it helps you decide what happens next. Your booking brings the available flight details together with the transfer, so the office can assess a delay in context.

  • Status beside the booking

See whether the provider reports the flight as scheduled, airborne, delayed, landed, cancelled or diverted, without separating that information from the ride you need to manage.

  • The arrival time available now

The flight card shows the actual arrival when available, otherwise the estimate or scheduled time. Times follow the pickup’s time zone when it is supplied.

  • Terminal details when supplied

Gate, terminal and baggage claim appear when the data provider supplies them. You can use the details available for this flight while arranging the airport meeting point.

  • A visible last check

The office can see when the flight was last checked and request a check from the booking. A missing result remains something to investigate, rather than a confirmed arrival.

When an arrival is delayed

Move the pickup with a clear rule

The adjustment follows a delayed arrival and the time needed after landing. It changes the pickup on the booking itself, giving dispatch a new working time while keeping the earlier time visible.

  • Arrival pickups only

Automatic adjustment requires the flight to be marked as an arrival. An unclear direction leaves the pickup unchanged, so the system does not guess which airport matters.

  • Landing time plus airport buffer

For an eligible arrival delayed by at least 15 minutes, we use the estimated arrival plus the booking’s airport buffer, which defaults to 30 minutes.

  • Later, never automatically earlier

The pickup moves only if the calculated time is later than its current time. If an estimate improves, the system does not automatically bring the car forward.

  • Keep the previous time visible

An adjustment notice on the flight card shows the pickup time before the automatic change. Flight status changes also leave a record in the booking’s history.

Across the working day

Keep the new time with the people driving

The useful result is a changed booking that your team can work from. We refresh the operational views and handle change notices, while you retain the information needed to review the rest of the schedule.

  • Dispatch follows the changed booking

When flight tracking moves a pickup, the dispatch board and the driver’s job list receive the change. You can review the revised time against the day’s other rides.

  • Notice when changes add up

For an assigned driver, pickup changes accumulate against the last time communicated. A qualifying change triggers the driver notice without repeating an alert for every small adjustment.

  • The partner’s ride stays connected

A partner holding the ride through a handover link can read the revised pickup there. Qualifying accumulated changes also trigger the partner’s booking change email.

  • Useful checks, bounded usage

Automatic checks focus on upcoming active bookings and stop after landing, cancellation or the passenger’s journey starting. Provider availability and the applicable lookup allowance still govern access to fresh data.

Frequently asked questions

Exactly when does TransferCRM move a pickup?

The booking must identify an arrival, and the provider must report a delayed flight with an estimated arrival and a delay of at least 15 minutes. We add the booking’s airport buffer to that estimate and move the pickup only if the result is later. Cancelled and completed bookings keep their pickup time.

What about transfers taking passengers to departures?

A departure delay does not automatically move the passenger’s pickup. Those bookings are excluded from automatic flight monitoring: a late aircraft is not a reason to assume a passenger can leave for the airport later. If the flight direction is unclear, tracking can show information, but it does not change the pickup.

How often is flight information updated?

Checks become more frequent as pickup approaches, and recent provider responses can be reused. The office can also request a check from the booking. The result still depends on what the provider has published, its availability and your allowance; flight tracking is not a promise of an instant update every time an airline changes its schedule.

What happens if a flight cannot be found?

An empty lookup does not invent a flight status or erase a previously received one. After repeated unsuccessful lookups, the flight card warns the office that the number was not recognised. Check the flight number and booking date, then request another check when appropriate. Coverage and the timing of published data vary by provider.

Which plan includes flight tracking?

Flight tracking is available from Pro. Data comes through a configured provider, using platform access where available or your own supported provider account. Platform lookups have a monthly allowance; a separate provider account follows that provider’s terms. Check the available configuration and usage for your account before relying on it for your airport workload.
