Partner handover

Give a partner the ride, keep the answer in view

When your own fleet cannot cover a transfer, we keep the partner, agreed fee and handover status beside the booking. Send a request, follow the reply and collect the driver details from the same order.

Included from the Business plan

  • Requests with deadlines
  • Job link without an account
  • Driver details on the order

Make the handover explicit

A partner's name on a booking is only the start. We separate asking someone to take the ride from recording an arrangement you have already made.

  • Ask or hand over directly

Send a request when you need an answer. For a partner using a job link, direct handover records an arrangement already agreed with them.

  • Set the partner fee

Enter the fee and its currency during handover. We show the partner's payable amount in their currency while keeping your order cost in the booking currency.

  • Give the request a deadline

Requests carry a response deadline. You can distinguish an unanswered request from an accepted ride and see when the opportunity to respond has expired.

  • Choose whether to send email

Review the email choice before confirming the handover. Company defaults and partner rules prepare the choice, while a missing email address is shown explicitly.

  • Keep your partner details together

Use the partner record for contact details and the handover. The dispatch team can identify who is being asked without assembling a separate message from scratch.

The partner's side

A job link they can answer

Your subcontractor can open the ride in a browser. We show the information appropriate to the current handover state and bring their answer back to your team.

  • No account for the link

Partners using the job link can respond in their browser without creating a TransferCRM account. The link belongs to that particular handover and follows its status.

  • Show the work to evaluate

An open request shows the journey and operational requirements needed for a decision. Passenger details become available once the partner holds the ride.

  • Keep acceptance on record

Acceptance, refusal and expiry remain distinct states. Dispatch can read the answer on the order instead of treating a sent message as confirmation of coverage.

  • Collect the driver details

The partner holding the ride can provide the driver's name, phone and vehicle details through the link. We bring those details back to the order.

  • Control what is shared

Internal notes and your customer account stay outside the job sheet. Passenger phone and customer note sharing follow your settings, so access matches the work being handed over.

During the ride

Keep responsibility visible as plans change

A confirmed transfer can still change. The handover panel keeps the partner's answer and the practical details close to the booking your team is already managing.

  • Read the current handover

Open the order's handover panel to check its state and available actions. Your team can see whether it is still waiting for the partner's response.

  • Follow missing driver details

A partner can hold a ride before naming the driver. Driver detail deadlines make that remaining task visible, separately from the acceptance of the transfer itself.

  • Use the passenger's meet sign

When a meet board is set on the booking, the partner holding the ride can open the sign and download its PDF for the pickup.

  • Handle a returned ride

The job link lets the partner return an accepted ride before pickup where allowed. We record the reason, so dispatch knows why coverage needs attention again.

  • Close access with the handover

A refused, expired or withdrawn handover no longer exposes the full job sheet. An old link shows its status rather than retaining access to passenger details.

Frequently asked questions

Does every partner need a TransferCRM account?

No. A subcontractor can use the job link in a browser to answer a request and, once holding the ride, provide driver details. Connected TransferCRM companies can work through their own dashboard. The link route lets you work with partners who do not use our software.

What is the difference between a request and direct handover?

A request waits for the partner's answer and carries a deadline. Direct handover records an arrangement you have already agreed with a partner using a job link. It treats the ride as accepted; use the request option when you still need confirmation. Connected companies are asked to accept.

Can the partner see my customer price?

For a standard subcontracted ride, the job sheet shows the partner fee and the operational details needed for the transfer. Your internal notes, customer account and margin are not shared. The information shown also follows the sale arrangement and handover state; passenger phone and customer note sharing have separate settings.

What if the partner has accepted but has not named a driver?

Acceptance and driver details are separate. The partner can supply the name, phone and vehicle through the job link after accepting. Where a driver detail deadline is configured, we show when those details are due, so dispatch can follow the missing information without asking for acceptance again.

Which plan includes partner handover?

Partner handover is included in Business. The handover connects the booking, partner terms and reply in your dispatch workflow. Partner settlements are a related feature for preparing statements and recording balances after the work; they are available from Pro. You can explore TransferCRM during the 14-day trial.
