Email to booking

The booking is in the email. Start there.

Your customer has already written the journey details. TransferCRM reads supported details into a booking form, keeps the email beside it and lets you check the trip before saving.

Included in every plan

  • Original email beside the form
  • Uncertain details stay as suggestions
  • You decide when to save

Filled fields are marked and reversible. Uncertain values are suggestions.

From your inbox

Give incoming requests a place to become bookings

A hotel sends an airport transfer. An assistant forwards a guest’s itinerary. Bring those requests into your workspace and work from the message your customer actually sent.

  • Keep your existing email address

Forward incoming requests to your workspace’s receiving address. The setup guide takes you through forwarding, so customers can keep writing to the address they already know.

  • Open the message and form

Start an order from an incoming email and read the original text beside the booking form. Compare the pickup, destination and instructions without switching back to your mailbox.

  • Recognise the customer

We look for an existing client linked to the sender. Where a forwarded message identifies its original writer, that context helps you check who the booking is for.

  • Handle each journey separately

When the reader identifies several journeys, including a return, each gets its own route into the form. Review and save the journeys individually from the same message.

Review the details

Less retyping, with the source in view

Our reader uses rules to recognise booking details. Clear values can fill untouched fields; details needing your judgement remain suggestions. You can see the words behind each value.

  • Bring across the trip details

Supported details include pickup and destination, date, time, flight number, passengers and luggage. What appears depends on what the message says and how clearly the reader recognises it.

  • Check where a value came from

Each extracted value carries the passage it came from. Use that source to compare the proposed detail with the customer’s wording before you accept it in the form.

  • Keep control of uncertain details

When a detail is ambiguous, the reader offers it for review. You decide whether to use it, correct it or leave the field for further clarification with your customer.

  • Keep the changes you make

Details you type, choose or clear are protected from automatic filling. You can undo values brought in from the message individually or together while keeping your own edits.

Finish the booking

Turn a checked request into an order

The email starts the work; your normal booking form completes it. Check the journey, fill any gaps and save an order your team can use for dispatch.

  • Save through your booking form

You finish the order in the same form used for other bookings. Check addresses, customer details and price before saving it into your normal operational workflow.

  • Keep the message connected

The saved order keeps its source email, and the message shows the orders made from it. Your team can trace a booking back to the request that started it.

  • See journeys already booked

Before saving another order for the same recognised journey, the form shows existing orders and asks whether to create another. You can make that decision with the context visible.

  • Review requests to change bookings

A recognised change request leads to reviewing an existing booking. Proposed changes wait for your decision; when the booking is unclear, you choose which order the message concerns.

Frequently asked questions

Does an incoming email create a booking automatically?

You create the booking by checking and saving the form. The reader prepares supported details and separates values it can fill from suggestions that need your decision. The original message remains available for comparison, so your team can check what the customer asked for before the order enters your workflow.

Do I have to replace our company mailbox?

Keep your existing mailbox and forward incoming requests to the receiving address shown in TransferCRM. The setup guide includes forwarding instructions. Your customers can continue using the same address, while your team handles the received requests from the workspace inbox and opens the booking form from there.

What happens when an email is unclear?

Details the reader cannot confidently resolve stay as suggestions or need manual entry. Check the source passage, edit the form and clarify missing information with your customer where needed. This is especially useful when a message mentions several dates or times and the intended pickup is not clear.

Can one email contain an outbound and return transfer?

Yes. When both journeys are recognised, the message offers a separate booking action for each. You review and save each journey on its own. Orders already created from a recognised journey remain visible, helping you see what has been booked and what still needs your attention.

Which plan includes email to booking?

Email to booking is available from Starter as part of the core order workflow. You can bring requests into the workspace inbox, review the details and save orders using the rule-based reader. Other features you use afterwards follow their own plan availability, shown on the plans page.
