Google Calendar

Your bookings, in the calendar you already use

Connect your company's Google account and we send your bookings to its primary calendar. Keep the route, pickup time and assigned driver beside your other appointments, while your office manages each booking in TransferCRM.

Included in every plan

  • Bookings sent automatically
  • Changes follow the booking
  • Connection status in settings

From booking to calendar

Enter the ride once. Find it in Google Calendar.

Your office already records the journey in TransferCRM. We use those details to create the calendar event and keep it aligned when the booking changes, so the calendar remains a useful view of your work.

  • New rides become events

When a booking is ready to enter the calendar, we send it automatically in the background. Your dispatcher can continue working after saving the ride.

  • Across your booking channels

The same connection handles bookings created in the office, through the booking widget, portals, imports or recurring rides, once those bookings are eligible to sync.

  • Changes follow the booking

Change the pickup time, addresses, assigned driver or vehicle in TransferCRM. We update the corresponding event with the booking details saved by your office.

  • Cancelled rides leave the calendar

Cancel or delete a booking in TransferCRM and we remove its calendar event. Returning a booking to draft also removes it from the connected calendar.

Inside the event

Recognise the journey before opening the booking

An event brings the journey details into a familiar calendar view. The route, people and pickup time come from the booking, giving your office context when looking through the day alongside its other appointments.

  • Route in the event title

The event title includes the pickup and destination, vehicle and booking reference. The pickup address also appears in the event's location field for easy reference.

  • People and assigned vehicle

Open the event description to see the client, passenger, assigned driver and vehicle details. We include the registration number when a vehicle is assigned.

  • Flight and meeting details

Where supplied, the description includes the flight number, meet board name, client notes and driver notes, keeping the booking's practical instructions beside its pickup time.

  • The pickup's own time zone

We send the event with the pickup location's time zone. Its start follows the booking's pickup time, including journeys outside your company's home time zone.

Connect and check

Know which account is connected and what has synced

Connect Google Calendar from settings as an owner or administrator. The connection card shows the account and sync information, so you can check progress, fill missing events and see when Google needs your permission again.

  • Connect through Google

Authorise calendar access on Google's consent screen. The connection belongs to your company workspace and sends events to the connected Google account's primary calendar.

  • Bring existing bookings across

Connecting starts a background sync of eligible upcoming bookings that are missing from the calendar. You can bring across rides already entered before connecting Google.

  • See the sync status

Settings show upcoming bookings, those recorded as synced, the last successful calendar operation and the latest reported error, helping your office understand the connection's current state.

  • Fill gaps and reconnect

Use Sync now to queue missing upcoming events. If Google withdraws access, the connection card asks you to reconnect so calendar syncing can resume.

Frequently asked questions

Does Google Calendar change my bookings in TransferCRM?

The integration sends bookings from TransferCRM to Google Calendar in one direction. Make journey changes in TransferCRM so they reach the calendar. Editing or deleting an event in Google does not edit or cancel the booking; a later sync of that booking can replace your calendar changes or recreate its event.

Which bookings are sent to Google Calendar?

Eligible bookings sync when they are created or when relevant booking details change. Connecting and Sync now also pick up missing upcoming bookings. Drafts, cancelled rides and test bookings are excluded. Widget bookings waiting for their required payment enter the calendar after payment, when the booking is announced to your office.

Which Google calendar does the integration use?

We use the primary calendar of the Google account connected to your company workspace. An owner or administrator authorises that connection in settings. Choose the account with the people and access you intend to use: events can contain passenger and client names, operational notes and the booking price.

What does Sync now do?

Sync now queues upcoming eligible bookings that do not yet have a linked calendar event. It helps fill the calendar after connecting or when earlier events could not be created. The work runs in the background; check the connection card for progress and errors. It does not import appointments from Google into TransferCRM.

What happens if I disconnect Google?

Disconnecting stops further calendar updates for your workspace. Existing events are not removed by that action. The Google connection is also used for sending through Gmail if you have enabled it, so disconnecting affects that service too. You can authorise Google again from settings when you want to reconnect.
