Check your data before the first booking

Keep the original export. Check a small import on each list, then bring in the rest and agree who signs it off.

Work through the checklist

We bring the relevant records together so your team can check the facts before moving on.

  1. Keep a dated original Who: Data lead. Pass when: Clients, drivers and vehicles have separate files; the original exports are saved unchanged.

  2. Check import access Who: Owner or administrator. Pass when: The correct workspace is open and Import CSV is available on each list.

  3. Prepare five sample rows Who: Data lead. Pass when: Each sample is UTF-8 CSV with headers and names containing accents and punctuation.

  4. Check identifiers against existing records Who: Data lead. Pass when: Repeated emails, client tax IDs and vehicle plates have been reviewed; subcontractors named in the file already exist.

  5. Match columns and read the preview Who: Administrator. Pass when: Names, phones, addresses and vehicle fields map correctly; characters and columns display intact. In Import CSV on Clients, Drivers or Fleet, we show sample rows beside the column mapping.

  6. Import the samples and open the records Who: Administrator and dispatcher. Pass when: Saved contact details, licence dates, vehicle types and seats match the source; existing values remain correct.

  7. Import the remaining rows and reconcile Who: Administrator. Pass when: The import has finished; added, matched, updated and rejected rows are accounted for, and errors are resolved.

  8. Approve the lists for daily use Who: Operations lead. Pass when: Sample records from each completed list are approved; driver email addresses are checked before invitations. On Drivers, send app invitations separately after checking the imported records.

A sample import saves real records. Configured client and driver webhooks can run.

How TransferCRM helps

We bring the relevant records together so your team can check the facts before moving on.

  • Map before saving

Import CSV lets you choose a field for each column and inspect sample rows before saving. The preview does not validate every field in the file.

  • Check the outcome

Import results show added, recognised and updated records, plus rejected rows. Reopen Import CSV to see Last import and any available undo.

Practical questions

Can I upload an Excel workbook?

Save each relevant sheet as a separate CSV first, preferably UTF-8. The importer accepts CSV files up to 5 MB.

Will importing again replace existing values?

Recognised records keep their populated fields; the import fills supported empty fields. Clients are matched by email or tax ID, drivers by email and vehicles by plate. Name matching is a fallback when those identifiers are absent, so review namesakes first.

Can I undo a sample import?

For seven days, open the import on the same list and use Undo import under Last import. Records edited or already used can remain; check the undo result before retrying.
