Hand over the ride. Check the answer.

We use these checks to separate a sent request from an accepted ride. Complete them for each handover.

Work through the checklist

We bring the relevant records together so your team can check the facts before moving on.

  1. Check the journey Who: Dispatcher. Pass when: Date, pickup time, time zone, addresses and stops match the booking.

  2. Confirm the vehicle requirements Who: Dispatcher + partner. Pass when: The partner has confirmed space for passengers, luggage and any required child seats.

  3. Agree the fee and who collects payment Who: Dispatcher + partner. Pass when: Partner fee, currency, extras, waiting charges and who collects any passenger payment are agreed.

  4. Send the request to the right partner Who: Dispatcher. Pass when: The intended partner has the request and its booking reference. The partner job page in TransferCRM opens from a link and accepts replies without an account.

  5. Set a reply deadline Who: Dispatcher. Pass when: A deadline and the person who follows up on silence are recorded.

  6. Verify acceptance Who: Dispatcher. Pass when: The partner has said yes; any direct handover has a prior agreement behind it. On the order detail page in TransferCRM, we distinguish pending replies from accepted rides.

  7. Collect driver and vehicle details Who: Partner. Pass when: Driver name, reachable phone number, vehicle and registration are recorded.

  8. Confirm the pickup instructions Who: Partner. Pass when: The driver has the meeting point, meet sign details and relevant passenger instructions.

  9. Check changes before pickup Who: Dispatcher + partner. Pass when: The partner has acknowledged the latest time, route and instructions, including any changes.

No reply, refusal or expiry: leave acceptance unchecked and assign someone to arrange cover.

How TransferCRM helps

We bring the relevant records together so your team can check the facts before moving on.

  • Read the answer on the order

We keep the partner’s reply beside the ride so your team can check the current handover.

  • Follow up on the driver separately

The partner can provide driver and vehicle details through the job link after accepting.

Practical questions

Does sending the request mean the ride is accepted?

No. A pending request still needs an answer. Direct handover records an agreement already made; it is not a reply from the partner.

What if the partner accepts without naming a driver?

Keep acceptance recorded, but leave the driver check open. Agree who will supply the missing details and by when.

What if the pickup time changes afterwards?

Update the booking, tell the partner and obtain confirmation of the new time. The earlier acceptance does not prove they saw the change.
